Help and support

How to install Meetvi, set it up and use it, and how to reach us when something is not right.

Contact support

Email info@quadstudio.ch. We answer within one business day (Monday to Friday, Swiss time). For a walkthrough of Meetvi on your own pipeline, book a demo.

Tell us your Pipedrive company name, the deal you were on and what you saw; please do not send passwords or API keys.

Install

You need a Pipedrive account and a paid Calendly plan (Standard or higher). Installing takes about two minutes.

  1. Open Meetvi in the Pipedrive Marketplace and click Install now (during the beta: open the install link we sent you). Install the beta.
  2. Pipedrive shows what Meetvi may access: deals, activities, contacts and deal fields. Click Allow and install.
  3. On the page that opens next, click Connect Calendly and sign in to the Calendly account your team books calls on. If you are a Calendly admin, Meetvi can use your organization's shared event types too.
  4. Open any deal in Pipedrive. The Book a call panel is in the left column. It is also on person and organization pages.

Add Meetvi for your team

Pipedrive installs apps per person, so each person who books calls installs Meetvi in their own Pipedrive, with the same install link. Everything else is shared: your company's Calendly, the settings and the subscription. Nobody else connects anything or pays, and someone who joins later lands on a page that says Meetvi is ready.

Only Pipedrive admins and the person who set up Meetvi can change the settings, the Calendly connection and the plan. Everyone else sees the settings read-only, and can ask an admin from the panel: Meetvi emails them a link to its settings. Where Pipedrive offers it for Meetvi, a global admin can also add it for others under Tools and apps → Installed apps → Meetvi → Manage users; Pipedrive then asks each of them to authorize it (Adding apps to other users).

When someone removes Meetvi from their Pipedrive, it keeps working for everyone else. Only when the last person removes it does your company's subscription end and its data go.

Set up

Open the settings in Pipedrive under Tools and apps → Installed apps: find Meetvi and choose its settings from the menu. Everything has a sensible default, so you can start booking straight away.

  • How do you use Meetvi? Pick Booking only to book, move and cancel calls with nothing else changing in Pipedrive, or Booking + follow-up to also keep deals up to date. You can fine-tune everything below.
  • Calendly. The connected account, the event type the panel books by default, its meeting option (Zoom, Google Meet, Teams, phone or in person) and any other event types to offer on the panel.
  • Bookings from your Calendly link. Whether calls booked through your public Calendly link are added to Pipedrive, and whether a new contact gets a person and a deal, in which pipeline and stage.
  • Stages. For each pipeline, the stage a deal moves to when a call is booked, held or cancelled.
  • After the call. Whether the panel asks if the call was held or a no-show, and whether a cancellation or no-show gives the deal owner a task to offer a new time.
  • Pipedrive automations. Adds a Call status field (Booked, Rescheduled, Cancelled, Held, No-show), a Next call date and a No-shows count to your deals, for your own automations and filters.
  • Plan. Your trial or subscription; see pricing.

Use

Book a call

On a deal, pick a day and a time in the panel and confirm. Calendly sends the contact its invitation, with the meeting link, in their time zone. Meetvi guesses the contact's time zone from their phone number; you can change it before you confirm. The call appears as an activity on the deal.

Let the client pick a time

Click Send a booking link and copy the link into WhatsApp or an email. Whatever email the client books with, the call lands on this deal.

Move or cancel

A booked call shows on the panel with Reschedule and Cancel. When you cancel, you can add a reason: Calendly puts it in its cancellation email, and it is noted on the deal. When the contact reschedules or cancels in Calendly instead, the deal is updated by itself.

People and organizations

On a person, the panel books on their newest open deal, or creates a deal when they have none. On an organization, pick the person first.

After the call

If you have switched on follow-up, the panel asks How did it go?: Held or No-show. The deal moves to the stage you chose, and the Call status field changes with it.

Troubleshooting

I don't see the panel

Check that you have installed or authorized Meetvi yourself (Tools and apps → Installed apps). The panel is in the left column of deal, person and organization pages; scroll down if your sidebar is long, and expand it if it is collapsed.

The panel asks me to connect Calendly

Nobody in your company has connected Calendly yet, or the connection was removed. Click the button on the panel or open Meetvi's settings and connect the account your team books calls on.

Calendly refused a booking

The time may have just been taken, or the event type is inactive or needs a paid Calendly plan. Pick another time; if it keeps happening, check the event type in Calendly and in Meetvi's settings.

A booking from my Calendly link is not in Pipedrive

Check that bookings from your Calendly link are switched on in the settings. Meetvi finds the contact by the email, then the phone number, they booked with. If neither is in Pipedrive, it only creates a person and a deal when you have allowed it.

The panel says it has timed out

Reload the page in Pipedrive. The panel renews its sign-in by itself; this only shows when it could not.

Which Calendly plan do I need?

Standard or higher. Calendly only lets apps book calls and send booking updates on its paid plans.

Uninstall and your data

In Pipedrive, go to Tools and apps → Installed apps, open Meetvi and uninstall it. Meetvi's access to your Pipedrive and Calendly ends at once, and your data is deleted from Meetvi within 30 days. The activities and fields Meetvi wrote into Pipedrive stay there; they are yours. If you had a subscription, it ends with the period you have paid for. Read more in the privacy policy.
